AI Agents for Business, Explained
What an AI agent really is, how it differs from a chatbot, where it helps a business, and how to start small and stay safe.
An AI voice agent picks up your business line, answers common questions and books appointments straight into your calendar. Urgent calls and anything it cannot handle go to a person, with a written summary.
Every missed call is a booking that might go to the next business on the list. Your front desk cannot answer while they are with a customer, and nobody answers at lunch, after closing or on holidays. Many callers hang up rather than leave a voicemail, and phone tag wastes everyone's time. Hiring for evening cover is expensive for the number of calls involved. What you need is something that answers every time, handles the simple requests properly and gets the rest to you fast.
Example: A two-dentist practice misses calls at lunch and after 5pm, when the front desk is busy or closed. The voice receptionist answers those calls, books check-ups and cleanings into the practice calendar, and texts a confirmation. A caller in pain is offered the next emergency slot, and the on-call dentist gets a text with a summary. New patients asking about treatment costs get the published price list and a callback request. Next morning, the team reads short summaries instead of replaying voicemails.
Calls reach the AI through your existing number, by forwarding or a new line. It greets callers with your business name, tells them it is an automated assistant, and asks how it can help.
It answers questions about hours, prices and location from information you approve. For bookings it checks real availability in your calendar, offers open slots, confirms the details and sends a text confirmation.
Urgent calls, upset callers and anything outside its rules are transferred to a staff phone during opening hours. Out of hours, it takes a clear message and alerts the right person by text, email or Slack.
Each call gets a transcript, a short summary and an outcome, such as booked, message taken or transferred. You check these in a simple log, correct any mistakes and adjust the information the agent works from.
Books, moves and cancels appointments against live availability in Google Calendar, Outlook or Calendly, and only offers slots that are actually free.
Callers can interrupt, change their mind or ask two things at once. It copes with most accents and background noise, and asks again when it is unsure.
When a person is needed, it passes the call to the right phone and tells your staff member who is calling and why before connecting.
Out-of-hours messages arrive as a short written summary with the caller's name, number, reason and urgency, not a rambling voicemail you have to replay.
It can greet callers in your main language and switch when a caller speaks another one, within the languages you approve.
Recording announcements, retention periods and who can play back calls are all settings. Recording can be switched off entirely, keeping only the written summary.
Voice is where speed matters most. A slow reply sounds broken on the phone, so we use models built for live audio, such as OpenAI's realtime voice models or Google's Gemini live audio models. Where more control helps, we chain speech-to-text, a fast GPT or Claude model and text-to-speech instead. We decide per project, after test calls in your callers' language. Call summaries and follow-up texts run afterwards on a cheaper model, since nobody is waiting. Each part sits behind its own interface, so we can swap a voice or provider without rebuilding the agent.
Typical build: 4 to 6 weeks. Running costs scale with call minutes, covering the phone line, speech and AI usage, so we model them from your real call volume before you commit.
Builds start from $3,000 for one phone line, a calendar connection and a set of common questions. More locations, call transfer rules, CRM updates or extra languages add to the scope. Running costs are separate and depend on call minutes. We give you a fixed build quote plus an estimate of monthly running costs based on your real call volume.
Yes. We set it to say so at the start of the call, which is honest and, in some places, a legal requirement. Callers can ask for a person at any point. During opening hours they are transferred; out of hours, the agent takes a message and arranges a call back.
Plan on 4 to 6 weeks. The first two weeks cover call flows, your information and a test number you can call yourself. Then we connect the calendar and transfers, and run it on out-of-hours calls before it takes the main line. Forwarding from your existing number is the quickest route; moving the number itself takes longer.
It will sometimes mishear, especially on poor lines or with unusual names. It reads back names, dates and times before confirming, and it transfers or takes a message when it is not confident. Every call has a transcript and summary, so your team can catch mistakes quickly. Before launch we run test calls that mirror your real call types, including awkward ones.
Call recording consent rules vary by country, and in the US by state, so check yours with your own adviser. The agent plays whatever announcement your rules require, or we switch recording off and keep only the written summary. Recordings and transcripts sit in storage you control, in a region you choose, with automatic deletion. The voice AI provider processes audio under API terms that exclude training.
