AI Invoice and Document Data Extraction

Supplier invoices, receipts and purchase orders arrive by email or upload, and AI reads the fields you need. Each document is checked against simple rules, and anything unclear waits for a person before it reaches your accounts.

The problem

Why businesses ask us for this

Someone on your team spends hours each week opening PDFs and typing supplier names, dates, line items and tax into the accounting system. It is slow and dull, and typos slip through: a wrong total, a duplicate bill, a missed early-payment discount. Month-end piles up because the data is never quite current. Template-based OCR tools need a setup for every layout, and your suppliers all use different ones. You want the typing gone while still seeing what goes into your books.

A building supplies wholesaler with dozens of suppliers

Example: A building supplies wholesaler receives invoices from dozens of suppliers, each with its own layout, and a part-time bookkeeper keys them into Xero. With the extraction tool, invoices forwarded to a bills address are read, matched to purchase orders and checked for duplicates. The bookkeeper opens a review screen each morning, approves the clean ones in a batch and looks closely only at the few with price differences. Drafts land in Xero with the PDF attached, ready for the usual payment run.

How it works

From the first message to the finished job, step by step

  1. Documents come in

Forward invoices to a dedicated email address, drop them in a shared folder or upload them from your phone. PDFs, scans and phone photos are accepted, including multi-page invoices with long line-item tables.

  2. AI reads the fields

The model pulls out supplier, invoice number, dates, currency, tax, totals and each line item into a fixed format. It works across different layouts without a template per supplier.

  3. Rules check the result

Code, not AI, checks that line items add up to the total, the tax rate makes sense, the supplier exists and the invoice is not a duplicate. Failures and low-confidence fields go to a review screen.

  4. A person approves, then it posts

Your bookkeeper sees the document next to the extracted data, fixes anything flagged and approves. Approved entries are created as draft bills in Xero or QuickBooks, or rows in a spreadsheet, with the original file attached.

What you get

Features built in from day one

Any layout, no templates

New suppliers usually work from the first invoice. The AI reads the page like a person would, so there is no template to set up per layout.

Line-item detail

Captures each line with description, quantity, unit price and tax, not just the total, so costs can be coded to the right account or job.

Duplicate and math checks

Catches invoices you already have, totals that do not add up and tax that looks wrong, before anything is posted to your books.

Purchase order matching

Matches invoices to open purchase orders and delivery notes, and flags price or quantity differences for someone to approve or query with the supplier.

Account coding suggestions

Suggests the expense account and tax code from how you coded that supplier before. Your bookkeeper confirms or changes it, and later suggestions follow that choice.

Audit trail

Every entry links back to the original file, the extracted values, any edits and who approved it, which helps at year-end and in audits.

Models and data

Which AI model it runs on

Invoices are a good fit for multimodal models that read a scan or photo directly instead of relying on old-style OCR. For clean PDFs, a small, low-cost GPT, Claude or Gemini model is usually enough. Messy scans, handwriting or long multi-page statements can go to a stronger model such as Gemini 4 Argon, which takes images and long documents as input. We compare models on a sample of your real invoices and keep the choice in configuration. If documents must stay in-house, an open-weight model can run on your own server.

FAQ

Frequently asked questions

How much does AI invoice extraction cost to set up?

A standard setup, with email or folder intake, extraction, checks, a review screen and posting to one accounting system, starts from $1,500. Purchase order matching, several companies or a custom approval flow add scope. If all your invoices come from a few suppliers in fixed layouts, a simpler automation in the $500 to $1,500 range may be enough, and we will tell you.

How long until it is processing our invoices?

Usually 2 to 4 weeks. We start with a batch of your past invoices, including the awkward ones, and measure how well extraction works on them. Then we connect your accounting system in draft mode and run it alongside your current process for a short period, so you can compare results before switching over.

How accurate is it, and what happens with mistakes?

On clear, typed invoices extraction is usually very reliable, but no system is perfect, especially with blurry photos or handwriting. That is why totals are checked by code, low-confidence fields are highlighted, and nothing is posted until a person approves it. Once you trust a supplier's results, you can choose to auto-approve those invoices, and change that back at any time.

Can it handle receipts, handwriting and other languages?

Receipts and phone photos work well when the image is sharp and the whole receipt is in frame. Neat handwriting is often readable; messy handwriting is flagged for review rather than guessed. Modern models read invoices in many languages and currencies, and we can convert amounts using the rate on the invoice date if you need one reporting currency.

Where are our invoices stored, and who can see them?

Files and extracted data stay in storage on your own cloud account or a server we set up in your chosen region. Only the people you add can open the review screen. Documents go to the AI provider for reading over an encrypted connection, on paid API terms that rule out training on your data. For stricter needs, an open-weight model can run on your own server.
