AI Customer Support Chatbot

Your website gets a chatbot that answers customer questions from your own help pages, policies and order data. When it is not sure, it hands the chat to a person with the full conversation attached.

Why businesses ask us for this

Your team answers the same questions every day: where is my order, do you ship to my country, how do returns work. Each reply takes a few minutes, and the queue grows overnight and on weekends. Some customers who wait buy elsewhere or leave a poor review. Generic chatbots can make it worse, because they guess, invent policies or loop people through menus. You need something that answers from your actual rules, knows when to stop, and passes the hard cases to a person.

An online store with a busy returns queue

Example: A small online homeware store gets the same delivery and returns questions every day, and many arrive after the team has logged off. The chatbot answers them from the returns policy and live order data, after checking the order number and email. Damaged items and refund disputes go to a person in the help desk, with the photos and the full chat attached. In a setup like this, the team starts the morning with a short list of real problems instead of a full inbox of simple questions.

How it works

From the first message to the finished job, step by step

  1. We collect your answers

We gather your help pages, policies, product data and past support replies. Where order status matters, we connect read-only to your store or booking system, so the bot can look up real orders instead of guessing.

  2. It answers from your sources only

Each question is matched to the most relevant pieces of your content, and the model writes a short answer from those pieces. If nothing relevant is found, it says so and offers a person rather than making something up.

  3. A person takes the hard cases

Refunds, complaints, angry customers and anything outside the rules go to your team. The handoff lands in your help desk, email or Slack with the full chat, so the customer never has to repeat themselves.

  4. You review and improve it weekly

A simple dashboard shows every conversation, unanswered questions and handoff reasons. You fix a policy or add an answer once, and the bot uses it from the next chat. We test changes against real past questions before release.

What you get

Features built in from day one

Your content, their language

Every answer comes from your own content, in the language the customer writes in. Staff can see which page the bot used for each reply.

Live order and booking lookups

After a simple check, such as order number plus email, customers get the real status from your store or booking system instead of a generic reply.

Clean human handoff

Set the rules for when a person takes over, such as refunds, complaints or low confidence. Your agent sees the whole chat before replying.

Stays on topic

The bot only discusses your business. It politely declines off-topic requests and is set up not to invent discounts, policies or advice you have not approved.

Website now, WhatsApp later

It starts as a small widget on your site. The same assistant can later run on WhatsApp too, kept business-specific to fit Meta's platform rules.

Conversation reports

See which questions come up most, where the bot handed off and why. These reports often point to gaps in your website copy and policies.

Models and data

Which AI model it runs on

Most support questions are routine, so a small, fast model from OpenAI, Anthropic or Google answers them well once retrieval has found the right policy. Long complaints or multi-part questions go to a stronger GPT, Claude or Gemini model. We pick the pair per project by testing on your real past questions. The model sits behind one small interface in the code, so switching providers later is a configuration change, not a rebuild. If customer data must stay on your own servers, an open-weight model is an option.

FAQ

Frequently asked questions

How much does a custom AI customer support chatbot cost?

A focused website chatbot starts from $1,500. The price rises with each system it connects to, such as your store, help desk or CRM, and with extra channels like WhatsApp. Larger builds with several channels sit higher in our $1,500 to $10,000 range for AI projects. You get a fixed quote after a short scoping call, and you own the code.

How long does it take to launch?

Most support chatbots go live in 2 to 4 weeks. The first week covers gathering your content and a working test version on a private link. The next one or two weeks go on testing it against real past questions, setting handoff rules and connecting your systems. WhatsApp adds some time for Meta's account setup and business verification.

What happens when the chatbot gets something wrong?

It will sometimes miss, so we design for that. It answers only from your approved content, says when it does not know, and hands off to a person on topics you choose, such as refunds or complaints. Every conversation is logged, so you can spot a bad answer, fix the source and see the fix in the next chat. It is a first line of support, not a replacement for your team.

Where is customer data stored, and is it used to train AI models?

Chat logs and your content live in a database on your own cloud account or a server we set up for you, in the region you choose. We use paid API tiers whose terms say your data is not used to train the provider's models. Order lookups are read-only, and we can mask emails and phone numbers in logs and delete old chats on a schedule.

Can the same chatbot answer on WhatsApp?

Yes, as a business-specific assistant. Since January 2026, Meta has restricted general-purpose AI chatbots on the WhatsApp Business Platform, so the WhatsApp version only handles your own topics: products, orders, bookings and support. It shares the same content and handoff rules as the website bot. You will need a WhatsApp Business account, and Meta charges for some message types.
